Academic Calendars

Now you can truly unleash the power of our Timetable engine (which has always been regarded as one of the best in the RTO industry) without the long and laborious data entry. Every college has one or many Academic Calendars that outline their term/semester start and end dates, term breaks and even what is delivered (subjects/modules etc) within that period. Typically Academic Calendars are either for the entire college, no matter what course you are in OR based on an academic stream such as BSB, ICT, SIT, AUR, General English etc, that they deliver. They would normally do this when they have different number of weeks for their terms and/or term breaks for different academic streams. Although from year to year, Academic Calendars are consistent in the number of weeks of each term and term break; there is generally a pattern to them, the start date of each term would change based on public holidays etc. And this is where using relative weeks based on an annual calendar can be used so that TEAMS then knows when each term starts and ends and when a term break then starts and ends. For example, you might say that Term 1 always starts in week 3 of the calendar year. However in 2022, week 3 starts on Monday, 17th January 2022 and in 2023 it starts on Monday, 16th January 2023. By using relative weeks, there is no need to re-create your Academic Calendar every year and fix the dates. The only time you would do this is where your weeks (pattern) changes. We have been working on this since August 2022 and further refinements are ongoing. As with all colleges, there are many variables and different 'use cases', so we review all the ones we get and confirm if the current version will work or what refinements need to be done to make it work. Once we are happy that we have covered as many variables as we can and it is fully documented, we will release the documentation to clients on our help site. If in the meantime, you would like to know more about Academic Calendars; we would be happy to work with you and review your use case/s and guide you with setup and use. Please contact our support on support@rtosoftware.com.au with the Subject line of Academic Calendars. Or you can call them on 1300 85 05 85 or use our Live Chat feature in TEAMS to talk with them.
